Creating, Viewing, and Completing Work Orders

Work orders allow needed and completed maintenance of hydrants or drafting locations to be tracked and can be viewed in two ways: 1) via the individual hydrant or 2) from the Work Orders screen which shows all work orders. In this article, we will walk you through creating, viewing, and completing work orders.

NOTE: Work orders can also be created as a bulk operation. For more information see the Knowledgebase Article on Bulk Operations.

Creating a Work Order

Step 1: Navigate to the Hydrants Module.


Step 2: Locate your desired hydrant and navigate to its Work Orders.

You can either double-click to open the hydrant and then navigate to the Work Orders tab or simply click on the Work Orders icon on the far right.


Step 3: The Work Orders for that individual hydrant are now visible. Click on Add Work Order.



Step 4: Enter the information for a new work order.

The page is broken into two parts: Problem and Resolution. In this instance we are just creating a new work order for someone else to take care of, so we are only going to fill out the Problem section.


Once complete, click the Save button. After you have saved the work order you will also have the ability to add photos or other files under the Files/Images tab.

Step 5: View your newly created work order in the Work Orders tab of your individual hydrant.


Viewing Work Orders for All Hydrants

Step 1: Navigate to the Hydrants Module.


Step 2: Click on Work Orders in the top menu bar.


All Work Orders which have been entered can be accessed from this screen. You are also able to narrow down the results by the free-text fields of Hydrant ID, Title and Problem or by the dropdown menus for Requested By, Complete and Completed By.



Completing a Work Order

Step 1: Navigate to the Work Orders menu from the Hydrants Module.


From the Work Orders menu you can narrow your results down to locate the work order you need and then click on the Edit icon on the right of the screen. You can also click on the Work Orders icon for the specific hydrant from the main Hydrants menu, much like we did when creating a work order for that specific hydrant.


Step 2: Complete the Resolution section for the work order.


Now that you are on the Work Orders page, you can see the details of the original request. Since someone has taken care of the original Problem recorded, you will now complete the Resolution section and mark Complete to “Yes”.
Now you also have the ability to enter the Cost and Hours associated with the repair. Once done, click Save and the work order will now show a completed status.
