Creating an Inspection Form from Scratch

It is possible to create a custom Inspection Form from scratch that your department can use for all of your Occupancies. This article covers how to do this.


Step 1: Create a new Inspection Form.

  1. Navigate to the Settings button in the Occupancy Module.

  2. Click on Inspection Forms.

  3. Click the Add New Form button.

  4. In the New Form Name field, type the name of your form. In the Create From Form field, leave SRATCH (Start with a blank form) in the field.

  5. Click on the Add icon. The form is saved and you are returned to the Form List.


Step 2: Add a Description to your new Inspection Form.

  1. On the inspection form you just created, click on the Edit icon.

  2. Click the Add/Edit Form Description button to enter a description of the form. Note: It is helpful to include a description of what this inspection is used for.

  3. Click the Save icon.


Step 3: Edit the Inspection Form Content by adding Categories and Questions.

  1. Click on the Add New Category button to begin creating categories for the form. (See the picture above)

  2. In the Category field, enter the name of the category. (e.g. Exits, Extinguishers, etc.)

  3. In the Sequence field, enter an integer (0, 1, 2, etc.) for the order position you want this category to appear within the form.

  4. Click the Save icon. Note: Repeat Steps 1-4 for each new Category added

  5. Click on the Add Question button to begin adding questions to a category.

  6. In the Question field, enter a question you'd like to ask.

  7. In the Explanation field, enter a brief explanation of the question.
    Note: Many departments enter the applicable fire code in this field for easy reference.

  8. In the Sequence field, enter an integer (0, 1, 2, etc.) to mark which order you want this question to appear within the category.

  9. Click on the Save button.
    Note: Repeat Steps 5-9 for each new Question added


Step 4: Edit your Signature Options.

  1. Click on the Add/Edit Signature Options buttons to configure both handwritten and electronic signatures for the inspection form.

  2. Check the boxes next to each item you wish to appear on the inspection form.

  3. Once your choices are made, click the Save button.


Step 5: Lock the Inspection Form for use.

If you are satisfied with all the form categories and questions, lock the form by clicking the Lock This Form button.

Note: Once the form is locked, it cannot be edited or unlocked. Only locked forms can be used for inspections.

After you have locked the form, great job! You have just created an Inspection Form from scratch.
